Understanding the "Needs Resend" Flag

Needs_resend exists to stop a parent being sent — or re-sent — a balance that's no longer accurate. Once an invoice has been sent, Fees101 tracks whether anything since then changed what the student actually owes.

What sets the flag

  • The student's class changes (which can change what fees apply).
  • A fee opt-in or opt-out.
  • A discount is applied or revoked.
  • Credit is reallocated onto the invoice from a sibling.
  • The family's virtual account is re-provisioned.
  • A term closes — every invoice that had already been sent is flagged, since the close carries balances forward.

Finding flagged invoices

Needs_resend has its own filter chip on the Invoices list (Money → Invoices), so you can see everything currently flagged at a glance rather than hunting through the full list.

Clearing the flag

Regenerate the invoice to refresh its numbers, then use "send update notice" to tell the parent the balance changed. This action deliberately bypasses the normal guard against sending stale numbers — it's built specifically for this situation.

If an invoice is flagged needs_resend, sending a manual reminder from the student's profile is blocked until you regenerate the invoice first — this stops an outdated balance from reaching a parent by a side door.
