How Credit Balance Works, and Moving It Between Siblings

Credit balance is money sitting on a student's account that hasn't been applied to an invoice yet. It's not a feature you turn on — it's a natural side effect of a few specific situations, and it behaves differently depending on how it got there.

Where credit actually comes from

  • A payment larger than every open invoice it could apply to — the extra is parked as credit instead of being left floating or rejected.
  • Revoking a discount that was already applied to a paid invoice — the amount the discount had previously saved is restored as credit rather than demanding the parent pay it again immediately.
  • Choosing to credit an overage when a student opts out of a fee they'd already been charged for, instead of handling it as a manual refund outside the app.
Cancelling an invoice does NOT create credit. If any money or credit has already been applied to that invoice, Fees101 blocks the cancellation outright until that's resolved as a proper refund or credit adjustment first — there's no path where cancelling quietly turns a payment into stray credit.

Where to see it

A student's credit balance shows on their profile header, on their Fees tab ("credit on file — applies to their next invoice"), and on the relevant invoice's own detail page if credit was applied to it.

It applies itself — to its own student, not a sibling

Credit sitting on a student's own account is picked up automatically the next time an invoice is generated or regenerated for that same student — nothing needs to be manually applied.

It does NOT automatically move to a sibling, even if that sibling is in the same family and has an open invoice right now. Moving it across families requires the explicit Reallocate Family Credit action — see Linking Siblings to a Family Account.

What happens to it at term close or year-end rollover

Leftover credit is carried forward, not forfeited and not reset. A family's credit rides through a term close or a full year-end rollover and is still there to reduce a future invoice.
