Setting Up Your School on Fees101

This guide is for whoever is setting up the school once the owner has finished Getting Started as the School Owner. Work through it in order, because each step depends on the one before. The Getting set up checklist on your Today page shows the same steps and ticks them off as you go.

Have these ready

  • A list of your classes in order, from the youngest to the oldest.
  • This term's fees for each class, including extras such as bus, uniform or exam fees.
  • A list of students with their class, admission number, and a parent's name, phone number and email.
  • What each student already owes, or has paid ahead, if anything.

1. Sign in

Open the invite email from Fees101 and set your own password. Check with the owner that the payment account is connected before you add students.

2. Set up your session, term and classes

Create the school year, the current term and every class. Give each class a "Promotes to" class so end-of-year promotion works.

3. Enter your fees

Add every fee for this term. Use a flat fee if all classes pay the same, or a per-class fee if they differ. Make extras optional, and choose how often each fee bills.

4. Add your students and parents

Import everyone at once with the Excel template. Children who share a parent's phone number are linked as a family automatically, so check phone numbers carefully. Each student gets a payment account number once they are added, as long as the owner has connected the payment account.

5. Set your payment reminders

Choose when parents with a balance get reminded. After that, it runs on its own.

6. Tell us when you are done

Please don't send invoices yet. Parents must first get a message explaining what Fees101 is, otherwise a message about money from an unfamiliar sender can look like a scam. When setup is finished, email support@fees101.com. We will check everything with you, send the welcome message to parents, and then you can send your invoices.
