Setting Up a Flat School-Wide Fee

A flat, all-school fee is a single fee item with one amount that applies to every class — the right choice when the cost of educating a student doesn't meaningfully vary by class, or for a small school with a narrow age range.

Steps

01

Go to Fees → Structure, making sure the term you're setting fees for is selected and open (not closed).

02

Choose Add fee (or Add first fee, if no fees exist yet for this term).

03Enter a fee name (e.g.

"Tuition") — this exact wording is what parents see as a line on their invoice.

04

Enter the amount per student.

05

Under "Which classes," check "All students · school-wide" instead of selecting individual classes.

06

Set whether it's Compulsory or Opt-in (see Making a Fee Optional), and when it's billed — Every term, Once a session, or This term only (see Choosing How Often a Fee Bills).

07

Optionally leave "Eligible for discounts" checked (or uncheck it for a fee sibling/staff discounts shouldn't reduce, like exams or uniforms).

08

Click Add fee.

Gotchas

You can't add or edit fee items on a term that's already closed — its fee data is entirely read-only until someone reopens it as a draft.

Adding a fee does NOT change an invoice a parent is already holding. The Add a fee panel shows a live preview (students billed now, amount added to gross potential, invoices already sent) before you confirm, and you choose separately when to re-issue affected invoices, from Fees → Cycles.
