Changing a Student's Status (Withdraw, Graduate, Reactivate)

A student's status is active, withdrawn, or graduated. Fees101 deliberately doesn't auto-decide what happens to an open invoice when status changes — that's a judgment call it leaves to a human, every time.

Withdrawing or graduating a student

01

Open the student's profile.

02

Find the status action and choose Withdraw or Graduate.

03

If there's an open invoice, use "preview withdrawal" first to see the money impact before confirming.

04

Confirm the status change.

Withdrawing or graduating a student with an open invoice does NOT automatically cancel that invoice. You decide separately whether to cancel it or leave it collectible. If money has already been applied to it, it's flagged for manual review rather than touched automatically.

Reactivating a student

01

Open the student's profile and choose Reactivate.

02

Assign a class — reactivating requires an already-assigned class, so have this ready before you start.

03

Confirm.

Reactivating self-heals a previously-cancelled invoice for the same term, so you don't end up with two invoices or a missing one for a student who left and came back.

Fixing a mistaken cancellation

If an invoice got cancelled by mistake for a student who's actually still active, use Regenerate Cancelled Invoice from their profile to fix it, rather than trying to recreate it by hand.
